  1. Introduction

These Patient Terms & Conditions (“Terms”) govern the administrative, financial, and operational aspects of your use of services provided by SANA Psychiatric Associates (“the Practice”), including use of our website, patient portal, electronic communications, and billing processes.

These Terms are separate from and supplemental to the Practice’s SANA Consent for Treatment, which governs clinical care, informed consent, treatment risks, and provider-patient relationships.

By accessing our services, website, or patient portal, you acknowledge that you have read, understand, and agree to these Terms.

  1. Scope of These Terms

These Terms apply to:

  • Scheduling and appointment management
  • Billing, insurance, and payment processes
  • Use of the patient portal, website, and electronic communications
  • Administrative policies and practice operations

Clinical care, treatment decisions, medical advice, and informed consent are governed exclusively by the SANA Consent for Treatment.

  1. Patient Responsibilities

Patients are responsible for:

  • Providing accurate, complete, and current personal, medical, and insurance information
  • Updating the Practice promptly regarding changes to contact or insurance information
  • Following administrative policies related to scheduling, billing, and communication
  • Using the patient portal and electronic communications appropriately

Failure to meet these responsibilities may result in billing delays, interruptions in service, or administrative action.

  1. Appointments, Cancellations, and No-Shows

Appointments may be scheduled through the patient portal or by contacting the Practice directly.

Cancellation and no-show policies, including applicable fees, are outlined in the SANA Consent for Treatment and Financial Responsibility documents, which govern appointment-related charges.

Repeated missed appointments or late cancellations may result in limitations on scheduling or administrative discharge from the Practice, consistent with Texas law and ethical standards.

  1. Insurance & Payment Terms

Payment for services is due at the time of service unless prior arrangements have been made.

Insurance coverage, copayments, deductibles, and coinsurance are determined by the patient’s insurance carrier and individual plan. Any insurance verification provided by the Practice is an estimate only and not a guarantee of coverage or payment.

Patients are responsible for all charges not paid by insurance.

  1. Insurance Classification & Specialist Services

Psychiatric and mental health services are commonly classified by insurance plans as specialty services rather than primary care. As a result, copayments, coinsurance, and deductibles for services provided by this Practice may differ from those for primary care visits.

Insurance benefit determinations, including whether services are classified as specialty care and the amount of any copay or deductible, are made solely by the insurance carrier. The Practice does not control how benefits are applied.

  1. Electronic Communication & Patient Portal Use

The Practice may communicate with patients via phone, voicemail, text message, email, and the patient portal for administrative and non-urgent purposes.

Patients acknowledge that:

  • Electronic communications may carry privacy and security risks
  • Messages are not monitored after business hours, weekends, or holidays
  • Electronic communication is not appropriate for emergencies

Detailed clinical communication policies are addressed in the SANA Consent for Treatment.

  1. Telehealth Platform Use

When telehealth services are offered, patients agree to:

  • Use the designated telehealth platform appropriately
  • Ensure a private, secure environment during sessions
  • Maintain adequate technology and internet access

Clinical risks, benefits, and limitations of telehealth are addressed in the SANA Consent for Treatment.

  1. Privacy & HIPAA

The Practice complies with applicable federal and Texas privacy laws, including HIPAA. Use and disclosure of protected health information are governed by the Practice’s Notice of Privacy Practices, which is available upon request and on our website.

  1. Website & Intellectual Property

All content on the Practice’s website, including text, graphics, logos, and images, is the property of SANA Psychiatric Associates and may not be copied, reproduced, or distributed without prior written permission.

Website content is provided for informational purposes only and does not constitute medical advice.

  1. Limitation of Liability (Non-Clinical)

To the extent permitted by law, the Practice is not responsible for technical failures, website downtime, telecommunication disruptions, or errors related to third-party platforms used for scheduling, billing, or communication.

This section does not limit or waive any rights related to clinical care, professional services, or medical decision-making.

  1. Modifications to Terms

The Practice may update these Terms from time to time. Updated Terms will be posted on the Practice website with a revised effective date. Continued use of services after such updates constitutes acceptance of the revised Terms.

  1. Termination of Administrative Services

The Practice reserves the right to suspend or terminate access to administrative services, including scheduling or portal access, for violations of these Terms or disruptive behavior, consistent with Texas law and ethical obligations.

Clinical termination, when applicable, is governed by the SANA Consent for Treatment.

  1. Governing Law

These Terms are governed by the laws of the State of Texas.
